Privacy Policy

Commerce Fountain is the operating platform for the Fountain Hills Chamber of Commerce ("we," "us"). It brings membership, events, foundation, sponsorships, communications, and back-office operations into one place. This policy explains what information we collect, how we use it, and the choices you have - with specific detail about data we access from Google when you connect a Gmail account.
Information we collect
- Account information you or your administrator provide - name, email, role, and profile details - used to sign you in and operate the platform.
- Content you create in the platform - members, contacts, events, invoices, notes, tasks, meetings, and similar records.
- Google user data - only if you choose to connect a Gmail account (see below).
- Operational data - basic logs needed to keep the service secure and reliable.
Google user data (Gmail integration)
Connecting a Gmail account is optional and initiated by you. When you connect, you grant access via Google's OAuth consent screen, and we request only the scopes needed to power your inbox:
- Read and modify your messages (
gmail.modify) - to display your email in Commerce Fountain and keep read/star/archive/label/trash state in sync with Gmail. - Send email (
gmail.send) - to send replies and new messages you compose from the inbox. - Your email address (
openid,email) - to identify the connected account.
We use this access solely to provide the inbox features you see in the product. You can disconnect at any time from Connectors in the app, or revoke access at your Google Account permissions.
Limited Use disclosure
Commerce Fountain's use and transfer of information received from Google APIs to any other app adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, we do not:
- use Google user data for serving advertisements;
- sell Google user data, or transfer it to others except as needed to provide or improve the inbox features, to comply with applicable law, or as part of a merger or acquisition;
- allow humans to read your email, except with your explicit consent for specific messages, when necessary for security purposes (such as investigating abuse), to comply with applicable law, or where the data is aggregated and anonymized; and
- use Google user data to develop, improve, or train generalized AI or machine-learning models.
AI-assisted features (AERIS)
Commerce Fountain's assistant (AERIS) can summarize threads and suggest replies. When you use these features, the relevant content is sent to our AI provider (Anthropic) to generate the result and is processed transiently for that request only. It is not used to train AI models.
How we use information
- Provide, operate, and secure the platform and its features.
- Display, organize, send, and sync your email when you connect Gmail.
- Generate summaries and reply suggestions when you choose to use AERIS.
- Communicate with you about your account and respond to support requests.
How we share information
We do not sell your information. We share it only with service providers that help us run the platform - for example, our cloud hosting and database provider and our AI provider - under agreements that limit their use of the data to providing services to us. We may also disclose information if required by law.
Data security
We protect your data with industry-standard measures. OAuth tokens and other secrets are encrypted at rest (AES-256-GCM), access is restricted by role-based permissions, and data is transmitted over encrypted connections.
Data retention and deletion
We retain your information for as long as your account is active or as needed to provide the service. When you disconnect a Gmail account, we stop syncing it. To request deletion of your data, contact us at the address below; we will delete it unless we are required to retain it by law.
Your choices
- Disconnect a connected Gmail account anytime from Connectors in the app.
- Revoke Commerce Fountain's access from your Google Account permissions.
- Request access to, or deletion of, your information by contacting us.
